Doc Ride Limited Liability Co., d.b.a. The Doctor Ride (“The Doctor Ride,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what personal information we collect through thedoctorride.com and in the course of providing transportation services, how we use it, and your rights regarding it. This Policy is incorporated by reference into our Terms of Service.
By using our website or booking a ride with us, you acknowledge this Privacy Policy. Please check this page periodically, as it may be updated.
1. Information We Collect
Information you provide directly:
- Name, phone number, email address, and pickup/drop-off addresses when you request a quote or book a ride
- Mobility information (ambulatory or wheelchair, equipment needs) necessary to assign the right vehicle and driver
- Appointment details you choose to share with us (e.g., facility name, appointment time) so we can plan the ride — we do not need or ask for your diagnosis or the reason for your medical visit
- Payment information, processed through our third-party payment processor. We do not store full credit card numbers
- Correspondence with us by phone, text, or email, including call recordings of our support and dispatch lines
Information collected automatically:
- Website usage data (pages visited, browser type, device type, approximate location via IP address) via cookies and analytics tools
- In-vehicle audio and/or video recordings, as disclosed in Section 7 of our Terms of Service. Recordings are collected for driver and passenger safety, incident investigation, and quality assurance — not for marketing, and not shared outside The Doctor Ride except as described in Section 4 below
2. Cookies
We use cookies and similar technologies in the following categories:
- Strictly necessary — required for the website to function (e.g., loading the ride estimator)
- Performance/analytics — help us understand how visitors use the site so we can improve it
- Functionality — remember preferences between visits

3. How We Use Your Information
We use the information described above to:
- Quote, schedule, dispatch, and bill for rides
- Communicate with you about a booking (confirmations, driver ETA, changes) by phone, text/SMS, or email
- Maintain safety and resolve disputes, including through review of in-vehicle recordings when an incident is reported
- Train drivers and improve service quality
- Send appointment reminders, receipts, and — if you have not opted out — occasional service updates or promotions
- Comply with legal obligations (e.g., responding to a valid subpoena or court order)
SMS consent. If you opt in to text messages from us, that consent is not shared with or sold to third parties, except our SMS delivery provider strictly as needed to send you those messages. You can opt out of text communications at any time by replying STOP or contacting us at support@thedoctorride.com.
4. Who We Share Information With
We do not sell your personal information. We share it only with:
- Service providers who work on our behalf under confidentiality obligations — our scheduling/dispatch software, payment processor, SMS/email delivery provider, and similar operational vendors necessary to run the business
- Legal and regulatory authorities, when required by law, subpoena, or court order, or to protect the safety of a passenger, driver, or the public
- A medical facility or family member you've authorized, when you've asked us to coordinate directly with them about a ride (e.g., a discharge planner confirming pickup time)
We do not share in-vehicle recordings, mobility information, or appointment details with marketers or data brokers.
5. Data Retention
We retain booking and contact information for as long as needed to provide service, meet accounting and tax obligations, and resolve any disputes. In-vehicle recordings are retained for a limited period tied to our safety and quality-assurance review cycle and are deleted afterward unless retained longer because they document a specific safety incident or legal claim.
6. Your Rights
You may:
- Request a copy of the personal information we hold about you
- Ask us to correct inaccurate information
- Opt out of marketing communications at any time (the unsubscribe link in our emails, replying STOP to texts, or emailing support@thedoctorride.com)
- Ask us to delete your information, subject to our need to retain records for legal, accounting, or safety-documentation purposes

Our website and services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. A ride for a minor must be booked by a parent, guardian, or other authorized adult.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
